POSITION: OFFICE MANAGEMENT SECRETARY -  5 POSTS

REPORTING TO: DEPARTMENT MANAGER

POSITION OBJECTIVE
Manage and maintain the office of the Manager to ensure smooth operations that reflects the business objective of the Department.

Specific Duties and Responsibilities:
Specifically you will be responsible for ensuring that you:

  • Type and draft various documents accurately on time and in accordance with the specific needs for which the document is required
  • Effective maintenance of electronic and manual filing systems and updated index to ensure proper maintenance of records and easy retrieval of documents
  • Receive and dispatch all department correspondence and documents
  • Make travel arrangements for the Manager and other staff in the department.
  • Performs administrative and clerical functions as assigned by the Manager
  • Maintain a diary of appointment, advice and remind the Manager of the same to ensure smooth running of the office
  • Respond to all enquiries to ensure informative replies to stakeholders.
  • Prepare purchase requisition to ensure adequate availability of office supplies at all times.
  • Prepare materials for conferences and meetings when required as assigned by the Manager
  • Manage office equipment and machines, i.e. Computer, Typewriter, Photocopier machines and Fax messages to ensure performance is maintained.
  • Supervise the dispatching and receiving of reports, parcels and letters to ensure good management of the office.
  • Attending visitors to ensure that they are friendly received and attended to.
  • Performs administrative and clerical functions as assigned by the Manager


ACADEMIC QUALIFICATIONS:

  • Holder of Form four/Form six certificate
  • Diploma in Secretarial or full secretarial certificate.
  • Typing speed 50WPM (Stage III).
  • Office Practice stage II
  • Secretarial duties stage II
  • English stage II
  • Shorthand /Hatimkato 80/100
  • Fluent in both English and Kiswahili
  • Management Development for Executive Assistants (MDA) Level 1 or 2 from a recognized institution will be an added advantage


Experience and Skills you must posses
3 - 5 years experience
Communication skills
Customer care skills
Conversant with Computer Applications

REMUNERATION
An attractive compensation package based on performance and commensurate with the responsibility will apply to the successful candidates. All positions terms of employment are performance based fixed contract.
